There is no shortage of production software. Movie Magic has been the industry standard for decades. StudioBinder is genuinely good at call sheets, shot lists, and making a production look organized to the people funding it. Yamdu, Celtx, and a dozen others each own a slice.
So the question we had to answer before writing anything was not whether tools existed. It was why so many independent productions still end up running on a spreadsheet somebody’s ex-colleague built in 2019.
It is built for independent filmmakers
That is the decision everything else follows from. We designed FilmBase around the independent feature, the short, the commercial, and the music video: productions where the person building the schedule is often the person answering the phone, and where nobody has a week to spend on training.
Independent productions are not doing simpler work. They are doing the same work with fewer people, which is exactly why the tooling matters more, and exactly the group the established software had priced out. Design for the producer wearing four hats and the result is faster for everyone, which is why FilmBase is just as at home on a production with a full office behind it.
We asked people who make films
Before we designed the product we spent time with working filmmakers, going through what they actually use and where it hurts. Two complaints came up almost every time, from people who had never met each other.
The first was the number of tools. Scheduling in one place, budgeting in another, the script breakdown in a third, call sheets built by hand from all three. Every boundary between those tools is somewhere the same information gets typed again, and somewhere the versions quietly drift apart.
The second was that the schedule and the budget do not talk to each other. Cast and crew are paid for the days they work, and those days come from the schedule, so the moment a shoot day moves the budget is wrong. Somebody, and it is usually a producer late at night, has to go and make it right again.
One system, and the two documents joined up
Both of those complaints have the same answer, so we built one application that covers the work end to end: script breakdown, scheduling, budgeting, call sheets, storyboards, cast and crew.
The part that changes the day is the link between the schedule and the budget. They are not two files that a person keeps in agreement. Move a shoot day in FilmBase and the budget line totals update on the spot, because the days the budget is counting are the days on the board. That one decision removes most of the reconciliation work the people we spoke to were doing by hand.
It had to work without a connection
The other thing we decided early was that this could not be a browser tab.
Locations do not have signal. Basements, stages, warehouses, farms, and anywhere far enough out of town to be affordable. A tool that stops working when the bars disappear is not much use on the day it matters most. So FilmBase is a desktop application, and scheduling, budgeting, breakdown, and call sheet generation all run with no connection. Your projects are files on the producer’s own computer rather than rows in a database we operate.
Two things do reach the network, and we would rather name them than round the claim up: call sheet weather needs a connection and a GPS pin on the location, and the subscription check runs against the store the license came from.
Buying it should take a minute
We sell FilmBase through the Mac App Store and the Microsoft Store rather than our own checkout. Installing it is the same as installing anything else. The subscription sits in an Apple or Microsoft account, so trials, plan changes, and cancellations happen there. Card details go to Apple or Microsoft and never reach us.
Buying production software has traditionally meant a quote, a sales call, and a license key in an email. A production starting on Monday does not have time for that.
